  • You contact Us, or We contact you, including in relation to event participation, business inquiries, partnerships, sponsorships, or customer support;
  • You interact with Us through representatives, agents, vendors, contractors, or partners acting on Our behalf;
  • We process your Personal Data in order to comply with legal, contractual, safety, or regulatory obligations applicable to our activities and events.

Our processing of Personal Data includes all activities related to the planning, organization, management, and execution of events, including registration management, communication with participants, coordination with speakers and sponsors, on-site event operations, and post-event engagement.

Where P&C determines the purposes and means of the processing of Personal Data (for example, in relation to events produced and organized directly by Us), such processing is performed by Us in our capacity as the "Controller".

In certain cases, P&C processes Personal Data on behalf of third-party clients for whom We produce or manage events. In such circumstances, We act as a "Processor", meaning that We process Personal Data solely in accordance with the documented instructions of the relevant client, who acts as the Controller. In those cases, the applicable client’s privacy policy will govern the relevant processing activities.

We will process your Personal Data only as described in this Policy, and We will handle any rights you may exercise under applicable data protection law in accordance with the procedures detailed below.

"Personal Data" refers to any information relating to an identified or identifiable individual. Even information that cannot identify you on its own may be considered Personal Data when combined with other available data.

We may use non-personal aggregated data, including such that was derived from personal data but that was anonymized or pseudonymized to remove its personally identifying characteristics ("Aggregated data") for statistical, research and planning purposes and may retain the personal data in order to improve the overall quality of P&C's products and services.

We retain the right to collect and use personal data and the Aggregated data in order to improve our services in general.

DISCLOSURE OF PERSONAL DATA TO THIRD PARTIES

We may share your personal data with third parties as described below:

  • Regulators and public bodies: We will follow lawful requirements by authorities to disclose personal data. We may need to disclose personal data in response to lawful requests by public authorities, law enforcement agencies, and regulators including to meet national security or law enforcement requirements or to comply with a court order or subpoena.
  • Event clients (where We act as Processor): Where We produce or manage an event on behalf of another company, Personal Data collected in connection with that event may be shared with the relevant client. In such cases, the client acts as the Controller and determines the purposes and means of processing, and We process and transfer the Personal Data in accordance with the client’s documented instructions.
  • Sponsors and co-organizers: Where applicable to the structure of a specific event, We may share certain participant information with event sponsors or co-organizers, subject to the legal basis described in this Policy and applicable data protection laws. Such sharing may occur, for example, in connection with sponsored sessions or networking features, and will be carried out transparently and in accordance with your rights.
  • Service providers and contractors: We may disclose Personal Data to service providers that support the planning, organization, and operation of events and related business activities. These may include registration and ticketing platform providers, IT and cloud hosting providers, venues, badge printing services, QR code providers, email communication providers, marketing automation tools, analytics providers, payment processors, security providers, and professional advisers (such as legal and accounting advisers). Such service providers process Personal Data on Our behalf under contractual arrangements that include appropriate data protection obligations.
  • Parties to a corporate transaction.We also reserve the right to share and transfer your personal data if we sell or transfer all or a portion of our business or assets (including in the event of a merger, acquisition, joint venture, or reorganization). In such events, We will use commercially reasonable efforts to prevent such third parties from disclosing the personal data in contradiction with the terms of this Policy.

In certain events, participant information may be shared with third-party business partners or commercial entities, including where such sharing forms part of the event model (for example, lead-generation activities, networking programs, or paid sponsor access). Where such sharing involves the transfer of Personal Data for the third party’s own independent purposes, this will be carried out only in accordance with applicable data protection laws and based on an appropriate legal basis, which may include your consent where required. You will be informed at the time of registration or participation if such data sharing applies to a specific event.

These third parties may access, process, and/or store our (and in turn your) Personal Data while providing their services to us, and they may vary from time to time. The identity of certain third parties (such as sponsors or service providers) may vary from one event to another.

YOUR CHOICE

You may opt-out of our mailing lists and terminate your use of our services.

You may choose to stop receiving marketing communications from us at any time by using the unsubscribe link included in Our messages. You may additionally request that we refrain from sharing your Personal Data with certain third-party providers or our affiliates, except where such sharing is necessary to provide the services you requested, comply with legal obligations, or protect our rights. Please note that some opt-out requests may affect our ability to provide certain services, and it may take up to ten (10) business days for your request to take effect.

INTERNATIONAL DATA TRANSFER

P&C is based in a jurisdiction that is considered by the European Commission and the United Kingdom to be offering an adequate level of protection for the personal data processed under GDPR.

Due to the nature of our business, and as provided in the disclosure to third parties section above, We may transfer personal data to third parties such as our service providers, and cloud hosting services as needed for the purposes outlined in this Policy. As a result, the personal data We collect may be transferred to and stored in countries outside of the European Union. We make sure that such third parties provide us with adequate confidentiality and security commitments in respect to the storage and processing of your personal data.

CHILDREN’S PRIVACY

We do not intend to collect personal data about under aged individuals. If you believe that We have collected such data, please contact us.

P&C's services and events are not directed or structured to attract children under the age of 16. As a result, Our services do not request or knowingly collect Personal Data from individuals under the age of 16. If you are a child or under the minimum age allowed to use P&C’s platforms and interfaces under the laws applicable in your jurisdiction, you should not visit or use our services, and/or any of our platforms and interfaces.

DATA RETENTION

Different types of personal data are retained for varying periods, depending on the purpose for which the personal data is collected and processed, our legitimate business needs, and legal or regulatory obligations under applicable laws.

For example, We apply the following criteria when determining how long Personal Data is retained:

  • Event registration and participation data is retained for the period necessary to manage the event, provide post-event materials, address inquiries, maintain operational and compliance records, and document event history. We may retain certain records for internal reporting, business continuity, and audit purposes.
  • Marketing-related data (such as contact details used for newsletters or information about future events) will be retained until you withdraw your consent or object to such processing, unless longer retention is required for compliance purposes (for example, to maintain records of consent or opt-out requests).
  • Photography and media materials may be retained for as long as they are relevant to documenting and promoting our activities, unless you successfully exercise your right to object or request erasure where applicable
  • Data processed on behalf of event clients (where We act as Processor) is retained in accordance with the instructions of the relevant client and applicable contractual arrangements.

Personal Data that is necessary for us to comply with financial, anti-money laundering, tax, auditing, or consumer protection regulations may be retained for the statutory periods required under those laws, even if you do not proceed with our services.

We may retain limited Personal Data beyond the original retention period where necessary to establish, exercise, or defend legal claims, or to comply with legal obligations.

Aggregated, non-identifiable data will be retained indefinitely, and We will make reasonable efforts to delete or anonymize any potentially identifiable data when it is no longer required.
